Step
1: Strategic Review
We carry out a strategic review and arrive at an agreed definition
of the change programme objectives. It is critical to gain
senior management sign-off for the resources needed to carry
out the programme successfully. As part of the strategic review
we use our Exponential Complexity tool
to quantify the level of complexity and either scale down
the programme or build the business case for adequate resources
to deliver it.
Step 2:
Rapid Process Mapping
Unless one captures the detail of what people actually
do and make the necessary decisions about those activities
not being addressed by the new process, the change project
will fail. Using PROTOS process modelling
software, we employ a Rapid Process Mapping
approach to capture this detail very quickly and inexpensively,
enabling informed decisions to be made. This step generates
the insights into where the opportunities for improvement

Step 3:
Harness the drivers for change
The energy for change comes from users of the process
- and often the best ideas for innovation do too. We employ
a Strengthening
the Management Culture
tool to help identify tensions between the organisation
and the individuals in the organisation. (Click
here for a demo). We then bring together stakeholders
to open up the dialogue that will help them align with the
organisation and generate the momentum the process improvement
project needs in order to succeed.

Step
4: Design transition from ‘As Is’ to ‘To
Be’
We work with an in-house team in the use of the
process mapping software to evaluate the outputs of Step 2.
Using LEAN techniques of process improvement
to remove all waste from the process, we develop the transition
from the old system to the new one. This allows each group
of processes users to develop its own path through the new
process to ensure optimisation and take-up.
Step 5:
Train the team
This is where we transfer the knowledge to enable
the organisation to use the tools and techniques to achieve
continuous improvement. Fully trained personnel are vital
to ensure that processes are properly mapped and tested before
they are introduced.
Step 6:
Roll out new, compliant processes
Having agreed the changes in small pilot groups,
we work with the team to develop a project implementation
plan. Implementation uses the outputs from the process mapping
software, including user manuals, forms, guidance and other
documentation as required to implement the changes.
Step 7:
Generate take-up and compliance
We work with the individual members of the organisation
to make sure that they are taking up the new processes and
coping with the changes in their roles. Its this detailed
level of working with people, as well as process, that brings
about real culture change in the organisation… which
leads to high levels of take-up and compliance...and
success!
